What is an applicant tracking system?
An applicant tracking system is a database built for hiring. It holds every applicant, resume, interview note and status change for the roles you are filling, and it presents that data as a pipeline you can move people through. The name is literal. It tracks applicants. ATS vs spreadsheet: what is the difference?
A spreadsheet can list candidates, and for a single small role it is genuinely fine. The difference shows up under load. A spreadsheet does not send a reminder when a candidate has waited four days for a decision. It does not stop two people editing the same row, or record who moved a candidate and when. It does not post to your careers page or parse a resume. Every one of those jobs falls back on a person remembering to do it.
An ATS turns those manual habits into system behaviour. The stage change is logged automatically. The reminder fires on its own. The application lands already structured. When you compare the two honestly, the spreadsheet is not cheaper, it just moves the cost from a licence fee to your team's attention, and attention is the more expensive of the two once you are hiring seriously.
How do you choose an ATS?
Start from your hiring volume and your team, not from a feature matrix. A five person company hiring occasionally needs something it can run in an afternoon. A scaling team hiring across departments needs reporting and permissions. Work through a short set of questions:
- Can you configure the pipeline to match your process, or are you forced into the vendor's stages?
- How does pricing scale? Per seat pricing punishes you for adding interviewers, which is exactly who you want in the system.
- Who owns the candidate data, and can you export it if you leave?
- How long does it take to get running and to onboard a new hiring manager?
- Does it report on the metrics you will be asked about, like time to hire and source of hire?
